OVERVIEW

JOB PURPOSE

 

Oversees the planning, coordination, and delivery of a range of initiatives that advance the Law Society and the Business Innovation & Operations Management (BIOM) department goals. Manages full project lifecycles, from resource planning and risk assessment to implementation and closure, while engaging stakeholders across departments, including end users, IT, and external vendors. Supports organizational change management, prepares materials for leadership and other stakeholder meetings, delivers presentations and training, and monitors budgets to ensure alignment with financial objectives.

 

QUALIFICATIONS REQUIRED

  • Requires completion of a 3-year college program, or a university degree (preferred), in the field of information technology, mathematics, or equivalent, in a quantitative field, coupled with relevant, ongoing education and/or experience in project management, application procurement, application development, design and implementation.
  • Successfully completed the Project Management designation, Project Management Professional, as a minimum.
  • Requires a minimum of 5 years’ progressive experience designing, planning, and executing technology projects in a multi-platform environment.
  • Professional Knowledge
    • A solid understanding of waterfall and agile methodologies.
    • Extensive knowledge of and experience in project management (planning, implementation, measurement) under conditions of rapid change, supporting a diverse user community including external stakeholders.
    • Relevant practical experience in project management, business process analysis, control structures and information systems design, development and implementation.
    • Financial acumen to support the development and monitoring of a significant operating and capital budget.
    • Knowledge of Law Society’s systems and business culture would be an asset, as would general management experience.
  • Technical Skills
    • Microsoft Office Suite / 365 (Word, Excel, PowerPoint, etc.).
    • Detailed knowledge of current trends and developments in information systems and their practical applications, as they relate to scope of responsibilities.
    • Thorough understanding of application system development lifecycle and documentation requirements to support each phase in the cycle.
    • Thorough understanding of the networked, Windows environment, and MS Office programs.
    • Understanding of various architectural application frameworks.
    • Experience with Microsoft Project Web App (PWA), Project Online, SharePoint and Azure DevOps would be advantageous.

KEY ACCOUNTABILITIES

Project Planning

  • Assesses business needs, identifies technology solutions, and recommends improvements to enhance existing processes and procedures.
  • Defines project scope, goals, and deliverables in alignment with senior management and stakeholders to support BIOM objectives.
  • Collaborates with the Director, and Manager, Knowledge & Business Systems Management (KBSM), to develop and manage project and resource plans across the BIOM portfolio, ensuring timely scheduling and delivery using appropriate tools.
  • Estimates resource requirements, prepares budget proposals, and recommends adjustments to ensure effective project execution.
  • Coordinates internal resource allocation with department managers and oversees the recruitment of external staff or consultants as required.
  • Communicates project status, issues and risks to stakeholders and prepares clear, actionable recommendations with impact assessments.

Project Delivery

  • Directs and manages end-to-end project development, including detailed plans, status updates and related communications.
  • Coaches, mentors, and supervises project team members and contractors; delegates tasks appropriately, fosters accountability, and resolves team conflicts to maintain progress.
  • Tracks project milestones and deliverables, manages interdependencies and critical paths, and proactively addresses changes in scope, risks, and potential issues with contingency planning. Collaborates with BIOM and IT teams to identify, diagnose, and resolve issues, keeping all stakeholders informed throughout the process.
  • Develops and delivers regular progress reports, proposals, and presentations; cultivates and maintains strong relationships with stakeholders to support project success.
  • Defines success criteria, sets expectations for project reporting, analyzes team outputs, and troubleshoots issues to maintain project alignment and quality.
  • Ensures all project documentation is accurately maintained and updated within the project management system.
  • Conducts post-project evaluations, documents lessons learned, and prepares recommendations to improve future project performance.

 

Special Projects and Initiatives

  • Contributes to the planning and execution of special projects and strategic initiatives within BIOM.
  • Evaluates the Law Society’s application delivery capabilities and provides recommendations to the Director for improving efficiency and effectiveness.
  • Supports the development of project methodologies, standards, tools, and the integration of emerging technologies to enhance solution delivery across the organization.
  • Documents procedures, systems, and processes to ensure clarity and consistency in implementation.
  • Plans and coordinates events that promote BIOM objectives and encourage stakeholder engagement and collaboration.
  • Collaborates with the Change & Support Services (CSS) team to design and implement change management strategies aligned with program or organizational goals.

 

People Leadership

  • Supports the Director in training and development of staff, ensuring alignment with organizational policies and best practices.
  • Partners with the CSS team to educate and coach project team members, sponsors, and leaders on change management principles, tools, and responsibilities.
  • Provides ongoing support and coaching to the team and other stakeholders on daily change management activities.
  • Delivers presentations and facilitates training sessions; prepares supporting materials and communications to ensure clear understanding and engagement.

 

Financial Responsibility

  • Develops project budgets, manages contract financials, and ensures efficient use of corporate resources.
  • Coordinates procurement activities with Finance, drafts contract documents, manages service provider relationships, and escalates issues to the Director as needed.
  • Supports BIOM department by maintaining budget and expense tracking, processing invoices, verifying documentation, and ensuring timely payment in accordance with contract terms.

WORKING ARRANGEMENT

The Law Society has introduced a Distributed Workforce Model to leverage flexibility and agility, and to maximize employee productivity and engagement. Work arrangements will be determined by role and departmental requirements. The working arrangement for this position has been classified as hybrid, where the employee will regularly flex their work location between home and office.
